Learn how to add a workroom vendor and create a work order

Work Orders are used to communicate the desired services for fabrication of Products like a window treatment from a workroom. When you create a Work Order, it will include all Components that make up the Item for example, a custom window treatment (main item) will have many Components such as labor, lining, fabric, trim, hardware, etc with different Vendors. This allows the workroom to see all Components and where they are coming from, how much has been requested etc. Work Orders, like Purchase Orders, do not have a true fiscal bearing and are just requests for services. They can also be edited and deleted when needed. When a Vendor Deposit or Vendor Invoice is recorded in Design Manager for that service then it will have a fiscal bearing and be recorded in accounting.

To create a Work Order follow these steps:

1. Add the workroom as a Vendor by going to the left side menu and under Contacts, click Vendors. Click on the + Add button in top right and enter your workroom information. When finished entering the information, click Save.

2. Add your workroom Item to your Project by going to the left side menu and click on Projects. Open your Project from the list shown. On the Items tab, click on the +Add button to add your workroom Item. Note: The Item name and description will show on the workroom order along with picture added. On the Add Item page, click on the Workroom tab and select the workroom Vendor. Then select where to ship the finished Product to (if ship to address is not listed, add the ship to address under Settings and Glossary and select Ship To Codes). Add specific workroom instructions if needed.

3. Go back to the Item info tab and add in your Components by scrolling down and clicking on the +Add button next to Purchase Components Information. A Component can be on a PO and WO, so you don't need two separate Components and the PO description will be shown on the Work Oder as well. The picture can be changed for each Component. When adding your Component information be sure to select the correct Ship To address and the Vendor.

On the Edit Component page, click on the Special Instructions tab and add in additional information under Workroom Special Instructions. You can check next to Part of Work Order Heading if you want your special instructions to show at the top of the Work Order.

Go back to the Component info tab and check over your information and click Save. This will take you back to the Item page and you can keep adding Components as needed. When finished adding Components, click Save on Item page.

4. To create the Work Order, on the Items tab, select your Item by clicking in the box to the left of the Item and then click on the Create button and select Work Order.

On the Add Work Order, you'll see all the Components entered from the main Item and you can review for accuracy. Click Save to create Work Order.

5. On the Purchase Orders page you can see the new Work Order listed. To view the Work Order, click on PDF.

If you need to edit the Work Order, click on the PO/WO No. You can also modify the status (add order update information), send the Work Order or delete the Work Order by selecting the Work Order and clicking on Actions.

Note: It is important to remember to create Purchase Orders for the Components on the Work Order being sent to the work room.
