Fixing Mistakes on an Invoice

Learn how to fix mistakes on an Invoice after it has been posted

If you created and posted an Invoice and noticed a mistake on it, it is possible to fix that mistake without having to reverse and credit it. Invoices, once posted, cannot be deleted.

You can modify an Invoice to show updated Item descriptions, remarks, Invoice transaction descriptions, and can update the style of the Invoice.

1. To modify an Invoice already posted, go to the left side menu, click on Accounts Receivable and click on Client Invoices.

2. Click on the Existing tab under Client Invoices.

3. Find the Invoice you want to modify and select it by clicking in the box to the left of the Invoice. Then click on the Actions button on the top right and select Modify.

4. On the Update Selected Invoice window, you can make these updates by checking in the box next to each option:

  • Update descriptions to match specifications: This will update an Invoice with any Item Description changes you have already made. You can select one Item or leave the Item No. field blank to update All Item Descriptions on the Invoice

  • Update Remarks: You can edit the existing Invoice marks and/or add new Invoice remarks

  • Update Transaction Description: This will update the Invoices transaction description

  • Update Style: This will allow you to change the Invoice style. The options are Modern and Modern w/ Deposits. You can see examples of these styles here

5. When you are finished making your changes, click on the Save button.

If the mistake on the Invoice involves money or tax, you'll need to credit the Invoice and then create a new one after you have fixed the mistake. To do this, find your Invoice under the existing tab in Client Invoice and select the Invoice by clicking in the box to the left of the Invoice, and under Actions select Credit. In the new window select the fiscal month to the post the credit in and select the date for the credit. Enter a transaction description for the credit and click on Save. You'll see the credit listed in the Existing Invoice tab. Once you have made your changes in the Project then you can create a new Invoice to reflect those changes.
