Adding Payment on a Client Invoice

Learn how to apply payment on a Clients Invoice

Written by Bobbie Combs

When you receive a payment from a client on an Invoice, you can enter it directly from the Project. You can also enter Invoice payments by going to Accounting > Cash Receipts in the navigation. The steps and video below show how to enter a payment from a Project. To learn how to enter a payment in Cash Receipts, click here.

1. Open the Project you received the payment for and click the Invoices tab.

2. Check the box to the left of the Invoice you want to apply the payment to. Then click Actions on the right and select Pay. You can select more than one Invoice to apply payment for.

3. In the side window that opens, enter the Payment Date and select the Payment Type. If applicable, enter the Check/Ref No. and Deposit Slip No.

4. Confirm that the Payment Amount shown matches the payment you received. If the amount matches, click Save or Save & Post. Save creates a draft of the payment under Accounting > Cash Receipts. The draft will need to be reviewed and posted. Save & Post posts the payment directly to the general ledger. If the amount does not match, click the numbers under Payment Amount to adjust it.

In the window that opens, enter the amount you received in Amount to Pay. If needed, enter a Transaction Description to explain the difference (for example, “Partial payment”). Click OK.

Review the payment details, then click Save or Save & Post.

Once the payment is posted, it appears under Accounting > Cash Receipts. It also appears in the Invoice information and on the Invoice PDF.
